Job Description

Our client is a top tier law firm with many offices around the world. They are now seeking a proactive and highly efficient Administrative Assistant to support one of their key practices. Responsibilities:

  • Work as part of a team/group to deliver and provide seamless secretarial and administration solutions to assigned practice group fee earners
  • Coordinate meetings and conference calls, ensuring rooms and conference facilities are booked properly and on a timely basis
  • Assist with calendar and inbox management as required
  • Plan, book and manage travel arrangements, preparing (where required) key documents such as visas and any related correspondence
  • Prepare, format, proofread, amend and file legal documents in line with the firm’s document management processes
  • Coordinate the preparation, proofreading and distribution of marketing presentations and materials as needed
  • Conduct CR search and update listing rules where applicable
  • Assist in the timely preparation and submission of expense claims and reimbursements in line with company policy
  • Respond and deal with external or internal telephone calls and queries in a professional manner
  • Provide team coverage (including reception) from time to time

 

Requirements:

  • At least 3 years’ legal secretarial or administrative experience within international law firms
  • Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
  • Fluency in English, Cantonese and Mandarin; Chinese typing skills would be advantageous
  • Excellent organisation and document management skills
  • Ability to work independently, prioritise workload and meet with tight deadlines
  • Adaptable with a high level of personal responsibility
